Stratiphone Terms of Service

Effective date: October 27, 2026

These Terms govern your use of the stratiphone.com website and the Stratiphone virtual receptionist service (the "Service"), operated by StratiBack LLC ("StratiBack", "Stratiback", "we", "us"), Madisonville, Louisiana, USA. By joining the waitlist, using the website or using the Service, you agree to these Terms. If you use the Service for a business, you confirm that you're authorized to accept these Terms for it ("you", "Customer").

1. Early access

1.1 The Service is in early access. It's still being built and tested, features may change or be removed, and it may be unavailable at times. It has been tested on simulated and initial live calls, and early access is how we expand testing with real businesses.
1.2 Joining the waitlist doesn't oblige you to use or pay for anything, and doesn't oblige us to offer you the Service.
1.3 We set up the Service for early-access customers. We'll agree with you in writing (email is fine) on the details, including the start date, the phone number(s) involved and any fees.

2. What the Service does, and its limits

2.1 The Service answers calls forwarded to it, tells callers it's a virtual assistant for your business, and takes a message (such as the caller's name, callback number, address, problem and urgency).
2.2 The Service is automated and may make mistakes. It may mishear, mis-transcribe or misunderstand callers, miss details, or say something inaccurate. Check important details with the caller before acting on them.
2.3 Features the Service doesn't currently provide include: transferring calls to you or anyone else, sending text messages, booking appointments, and service in languages other than English.
2.4 Call forwarding. The Service is designed to work through conditional call forwarding from your existing number. You're responsible for setting up and turning off forwarding with your phone carrier, and for any charges your carrier bills for forwarded calls. Forwarding behaviour depends on your carrier, and we don't guarantee it.
2.5 No uptime guarantee. We don't promise that the Service will answer every call or be available at any particular time. Outages, carrier problems, provider outages and other events (including severe weather) can stop calls from being answered. Keep another way for customers to reach you.

3. Not an emergency service

3.1 The Service isn't an emergency service. It can't call 911, connect callers to emergency services, or dispatch anyone.
3.2 If a caller describes a life-safety emergency, the Service is designed to tell them to get to safety and call 911, and for a gas smell, to leave and call the gas company from outside. It won't give other safety, technical, legal or pricing advice.
3.3 You must not represent the Service as a way to get emergency help, and you're responsible for your own emergency and on-call arrangements.

4. Your responsibilities

4.1 Accurate business information. You're responsible for the information you give us to configure the assistant (for example hours, services, service area and urgent-call rules), and for what the assistant tells callers based on it. Tell us promptly when it changes.
4.2 Caller notice and consent. The Service announces at the start of each call that it's a virtual assistant for your business (and can include an explicit transcription notice in your greeting). You agree not to ask us to remove the virtual-assistant disclosure, and you're responsible for complying with laws that apply to your business's calls, including call-recording, interception and consumer-protection laws.
4.3 Acting on messages. You're responsible for reviewing and responding to messages and for how you treat callers.
4.4 Acceptable use. You must not use the Service: - (a) for healthcare or any purpose involving protected health information under HIPAA (the Service isn't HIPAA compliant and we don't sign business associate agreements for Stratiphone) - (b) for outbound calling, telemarketing, robocalls or texting - (c) for anything unlawful, deceptive or harassing, including impersonating a person or another business - (d) to collect payment card numbers, Social Security numbers or similar sensitive data from callers - (e) to interfere with, probe or reverse-engineer the Service

5. Data and privacy

5.1 Our Privacy Policy explains how we handle information from callers, customers and website visitors. We process caller information to provide the Service to you.
5.2 You own your business information and your callers' messages. You give us permission to use them to provide, secure, troubleshoot and improve the Service.
5.3 We keep and delete call data as described in the Privacy Policy, including call logs and transcripts for 90 days and delivered voicemail recordings for 30 days. Items not yet delivered to you are kept until they're delivered or handled. You can ask us to delete your data sooner.

6. Fees

6.1 Free during early access, limited spots, fair-use limits apply. We don't charge for the Service during early access. Spots are limited, and we decide who's offered one.
6.2 Fair use. Early access includes a fair-use limit on call-minutes per business per month (150 AI-answered call minutes per month by default; additional calls go to fallback voicemail). We'll tell you your limit in writing when we set you up. If you get close to it, we'll contact you before anything changes.
6.3 If paid plans are introduced later, we'll tell you the price in advance. We'll never charge you without your written agreement.
6.4 You're responsible for your own phone carrier charges.

7. Ending the Service

7.1 You can stop at any time by turning off call forwarding with your carrier and telling us. We'll give you the undo steps for your carrier.
7.2 We can suspend or end early access at any time, with notice where practical, including if you breach these Terms or if continuing would create a legal, security or safety risk.
7.3 When the Service ends, we delete your data according to section 5 and the Privacy Policy.

8. Our property

The Service, the website and their software, content and branding belong to StratiBack LLC. These Terms don't give you any rights to them other than to use the Service as described. If you send us feedback, we may use it freely.
